    Reporting to the Vice President for Adult & Continuing Education (ACE), the Associate Dean for Financial, Programmatic, and External Planning for Adult & Continuing Education provides results oriented leadership by providing oversight for managing the financial programmatic and external resources for the division of Adult and Continuing Education.

    The primary responsibilities of the position are to:

    • Ensure the division manages financial resources in a prudent, sustainable, and timely manner and create a divisional standardized human resources system.
    • Assist the Vice President of ACE to develop strategic plans for the Division that coordinates programmatic offerings (both continuing and new initiatives) to align with the overall College strategic plan. Maintain oversight and facilitate coordination of the divisional plan to ensure it is strategically responsive and proactive in developing partnerships in the community with business and industry, academic partners, and community organizations.
    • Actively manage and oversee the grant office, and the identification and securing of external funds to achieve the goals of the strategic plan, including the development of the necessary relationships in the external public and private funding communities, to advance the entire college.


    The Associate Dean will supervise the Director of Grants and Contracts and Senior Director of ACE Finance as well as assistants to the Vice President.

    Additionally, the Associate Dean will be responsible for:

    • Providing overall vision and supervision for the development and maintenance of processes, reports, and strategies that manage the external grants, contracts, and fee-based receipts in a prudent, sustainable, and timely manner.
    • Developing and overseeing a standardized ACE staff management system that includes job descriptions, evaluations process, and succession planning.   
    • Overseeing the Division's Strategic Planning and Implementation process. Providing overall coordination and integration of multiple programmatic initiatives so that all ACE programs are strategically linked within the Division and across the college and provides senior level planning to guide strategic programmatic development.
    • Providing close and direct supervision of the Office of Grants, including the development of efficient and effective processes to increase the number of grants, the amount of external funding secured, and the alignment of external funding with the college's strategic goals. Specifically, the Associate Dean will provide leadership for the Office of Grants in order to a) identify funding opportunities aligned with the College's strategic goals; b) develop an effective process to support development of college-wide grant applications and successful securing of funds from public and private sources; c) conduct effective post-award grant management; and d) develop and steward the necessary relationships with the funding community to facilitate continued success. Additionally, the Associate Dean will ensure that the Grants office provides the necessary structures to coordinate external funding with the Division of Institutional Advancement.
    • Creating and overseeing systems to identify new trends in local, state, regional, national, and international realms where the Division could successfully provide educational services.

    Qualifications:MINIMUM QUALIFICATIONS

    This position is in CUNY's Executive Compensation Plan. All executive positions require a minimum of a Bachelor's degree and eight years' related experience. Additional qualifications are defined below by the College. 

    OTHER QUALIFICATIONS

    Broad knowledge of financial management strategies including experience managing multiple sources of funding and specialized reporting requirements of external funding; broad knowledge of the field of continuing education including adult learning, economic development, grant and contract development, financing, and program and staff assessment; strong oral and written communication skills including grantsmanship; and strong entrepreneurial and risk taking capacities. An advanced degree and a minimum of 5 years managerial experience in higher education, preferably with experience in managing externally funded programs in a collegiate setting. Must exhibit strong leadership capabilities.

    Reporting to the Accounts Payable Manager, the successful candidate will assist in the management of College-wide related accounts payable functions and help to develop procedures and practices that will enhance the efficiency and customer service of the Accounts Payable Department.   

    Specific duties will include, but not be limited to the following:

    • Oversee Student Refund disbursement processes ensuring accuracy and timeliness.
    • Assist manager with identification, troubleshooting, and resolution of CUNYfirst-related payable issues, including creation of Customer Relations Management (CRM) tickets.
    • Provide support to user departments during the implementation and continued utilization of the modules in the Finance pillar of CUNYfirst.

    Reporting to the Associate Director of Administrative & Support Services, the IT Assistant is responsible for the day to day technical operations for the Telephone Services Department.  The successful candidate will:

    • Document solutions to problems in the Telephone Services ticketing system.
    • Liaise, when necessary, with the IT Department on issues concerning telecommunications.
    • Transport and/or troubleshoot computer equipment and phone equipment to different locations.
    • Maintain system documentation, procedures, and other instructions necessary for successful operations.
    • Follow-up with vendors regarding acquisition and/or repairs of telecommunication equipment.
    • Monitor and troubleshoot alarms on fiber optic transmission, digital cross connect equipment, and wiring as related to the Telecommunications Network.
    • Utilize remote test systems, applying fault isolation techniques and standard diagnostic procedures, to isolate and resolve equipment and circuit problems.
    • Resolve issues concerning telecommunication equipment and connectivity as directed.

    Qualifications:MINIMUM QUALIFICATIONS

    1. High School Diploma, G.E.D., or equivalent
       
    2. A minimum of six months of full-time experience in a computer or technology-related position.  Experience that is more than 20 hours per week and less than 35 hours per week may be counted at 50% of the requirement (i.e., two months of part time experience equal to one month full time experience)
       
    3. Additional experience and/or education that can be met by ONE of the following:  An additional three years and six months of full-time work experience in a computer or technology-related position; an Associate's degree plus 18 months of full-time work experience in a computer or technology-related position; or a Bachelor's degree from an accredited institution
       
    4. Demonstrated English Language proficiency
       
    5. A Motor Vehicle Driver's license, valid in New York State, may be required for some, but not all positions.


    This title has three levels.  To qualify for Levels 2 and 3, additional qualifications, such as education, experience, or certification relevant to the area of specialization are required.
